The Manyone Way of Cross-Team Collaboration

  • Shortcut

Harness the power of working across teams

Manyone was founded on the idea that when many teams work together as one, it improves outcomes for our clients, makes our organisation more dynamic, and makes for a more fun and challenging workplace.

To make cross-team work more manageable and fun, we've laid out some principles that define how we work, deliver, and thrive together as Manyone across locations and domains. And we've launched an ever-improving, shared toolbox.

We call this the Manyone Way of Cross-Team Collaboration.

Collaboration Terms

When working on a cross-team project, these overall financial principles apply for all PnL (profit and loss, i.e. budget) owners to ensure a fair split of revenue across teams.
  • Align on revenue split as early as possible and document in the Handshake template before final signage by the client.

  • No team should profit from other teams by adding extra markup on top of hourly rates or fixed prices.

  • We have the same internal contract model as we have with the client. E.g. Same price model, invoicing schedule, etc. ("back to back").

  • All involved teams share the risk - e.g. if a project is stopped after 50% of the work has been delivered, teams cannot claim undelivered value from the client owner team.

  • Should there be a scope challenge or decision to invest in a client, all team stakeholders negotiate and agree upon the investment / extra hours.

  • When doing cross-team pitch/sales, it is expected that the teams contributing to the pitch shall also receive a share of the expected revenue of the project, either as part of the project or as a form of compensation/finders-fee that should be agreed upon.

  • Additional costs for running a cross-team project (i.e. extra project management hours, travel costs, etc.) should be covered by the client or, if necessary, split in solidarity by all teams. An agreed as part of the Handshake.

Collaboration Principles

All teams commit to following these collaboration principles when working on a cross-team project. They define how we
work together across teams, enabling the project teams to put more energy towards the client and project outcomes.
  • We always talk to people – before booking them.

  • We always have the internal kick-off – before meeting at the client kick-off.

  • We define project goals and collaboration objectives together – to avoid confusion and increase accountability.

  • We clearly define the role and responsibility of each team member – in writing, because it surfaces remaining doubts.

  • We have regular check-ins. Projects lasting more than 8 weeks have a midway retrospective as a minimum.

  • We invest in social and informal activities – to facilitate getting to know each other and building trust.

  • We celebrate the achievements and successful outcomes of our collaboration.

  • We all discuss further ways of growing the client relationship – to share the responsibility and opportunity for rebizz.

  • We set aside time to reflect and extract learnings – being curious about how we can improve together and as individuals.

Collaboration Toolbox

Good collaboration is everyone’s job.
A shared set of tools will make it easier for team members to take ownership of facilitating team processes – especially in cross-team projects.

Kick-off

The internal kick-off sets the foundation for a great project.

The focus here is for the sales team to spill the beans on everything they have done up until this moment in time and the rationale behind it.
This allows all team members to align on the best ways to get there, specify roles and responsibilities, and discuss potential learning experiments.

Time: 2.5 hrs
When: As soon as the team is set

Retro

The retro is a chance for the project team to share what is going well and what should be improved, so we don't lose energy to undesirable work patterns or misunderstandings but rather take action.

The retro template facilitates a structured reflection on the team's well-being, collaboration, and processes to identify areas for improvement and collectively make meaningful changes.

Time: 1 hr
When: Halfway or repeat every 4-6 weeks

Wrap up

The closing retrospective is the final wrap up for the team and project. Looking back at how things were done, what learnings should be brought to future projects, and how we can continue to grow the client.

The focus is to identify general areas of improvements regarding our processes, collaboration, and how to nurture the client relationship - before we send all team members off with individual recognition of their contributions.

Time: 1.5 hrs
When: Max 2 weeks after project delivery
